Welcome to the tutorial on how to effectively manage your library's resources, containers, and collections using the Resource Manager in BiblioTECH's web app. This comprehensive tool is designed to streamline the organisation and cataloguing of your library's materials. In this guide, we'll delve into the "Resources" tab, where you can handle your resources efficiently. Let's get started!

Accessing the Resource Manager
  • Entering the Resource Manager: You can access the Resource Manager module in two ways:
    • On the dashboard, simply click on the "Resources" button.
    • Alternatively, in the side menu, locate and click on the "Resources" button.

Navigating the Resource Manager
  • Tabs Overview: Upon entering the Resource Manager, you'll notice three tabs at the top: "Resources," "Containers," and "Collections."
  • In this tutorial, we'll focus on the "Resources" tab, dedicated to managing the library's individual resources.

Resource Management in the "Resources" Tab
  • Resource List: The "Resources" tab presents a list of all the resources currently included in your library's catalogue.
    • This list is your go-to for managing and organising your library materials.
  • Search and Filters: Utilise the robust search bar and filters on the left side of the resource list to efficiently locate specific resources. You can filter by various attributes like title, author, or ISBN.
  • Download Report: On the right side of the "Resources" tab, you'll find the "Download Report" button. Clicking this button allows you to generate an Excel file containing detailed information about all resources in your catalogue. This is useful for comprehensive data access.
  • Adding Resources One at a Time: If you need to add individual resources, click on the "Add Resources" button. You can manually input the necessary information for each resource. Additionally, you can use the "SCIS" button to download records from the SCIS API using ISBN numbers. This applies to both physical and virtual resources.
  • Adding Multiple Resources from SCIS: The "Add from SCIS" button streamlines the process of adding multiple resources from the SCIS database. You can input up to 20 ISBN numbers per request, simplifying the cataloguing process. To use this feature you need a current SCIS subscription and configure The SCIS API access in BiblioTECH Settings.
  • Bulk Updates with Fields Updater: The "Fields Updater" button is designed for bulk updates of resource fields. This button is visible when one or more resources are Marked, click this button, and modify the desired fields for efficient edits.
  • Obtaining SCIS Cover Images: The "SCIS Images" button comes in handy when resources lack cover images but have ISBN numbers. By clicking this button, you can request cover images from the SCIS database and download them to the Resource Manager. To use this feature you need a current SCIS subscription and configure The SCIS API access in BiblioTECH Settings.
  • Bulk Actions: When one or more resources are selected, the "Bulk Actions" button becomes active. It offers several options such as downloading an Excel file with selected resources, creating copies, marking/unmarking resources, deleting them, moving to another library, or moving to a collection.
  • Deleting Lost Library Resources: The "Delete all in Lost Library" button serves to delete resources present in the lost library, simplifying your library's maintenance.
  • Unmarking Resources: In situations where you need to unmark all resources collectively, the "Unmark all Resources" button is your solution.
  • Resource List: Below these options, you'll find the resource list, where you can perform bulk actions by selecting multiple resources.
  • Resource Actions: For managing individual resources, use the "Actions" button. You can view details, edit, or delete individual resources with ease.

Containers Tab
Look for the "Containers" tab. You can find this on the Resource Manager next to the resources tab. Click on it to access the Containers area.

Managing Containers
Search and Filter: At the top of the Containers section, you'll find a search bar along with a filter button. These tools are essential for locating specific containers or filtering your search results. Enter relevant keywords in the search bar and click the filter button to narrow down your search.

Add a Container: Next to the search bar, you'll see an "Add Container" button. Click this button to create new containers for organising your resources.

Viewing and Editing Containers
Containers List: Below the search and add buttons, you'll find a list of all the containers currently in the system. Each entry includes an "Actions" button. This button provides several options for managing your containers:
  • View Details: Click this option to view specific details of a container.
  • Edit: Use this option to make modifications to an existing container.
  • Manage Contents: To add or remove resources within a container, select this option.
  • Delete: If you need to remove a container from the system, choose this option.

Managing Container Contents
Manage Contents: To add, remove, or review the resources within a container, click on the "Manage Contents" option via the "Actions" button.

Contents Window: This will open a window displaying the contents of the selected container. Here, you can see a list of the resources contained within it. Each resource entry will include a "Remove" button to delete resources individually. If you want to remove all the resources at once, you'll find a "Remove All" button located at the top of the list.

Adding Resources to Containers
Add Resources: Below the list of container contents, you will see three additional buttons: "Back," "Add by Title," and "Add by Barcode."
Adding Resources by Title: To add resources to the container by title, click the "Add by Title" button. You can then search for resources by title and add them to the container.
Adding Resources by Barcode: If you prefer to add resources by barcode, click the "Add by Barcode" button. Enter the barcodes of the resources you want to add, select the resources and they will be included in the container.

Collections Tab
Look for the "Collections" tab, which is typically located next to the "Containers" tab. Click on it to access the Collections area.

Understanding the Function of Collections
Collections in BiblioTECH offer various functionalities and benefits. They can be used for:
  • Resource Categorisation: Collections allow you to categorise your resources into different groups, making it easier to manage and find specific items in your library.
  • Filtering Search Results: In the Search module, you can specify which collection should be displayed in search results and which collection should be hidden, enhancing the search experience for library users.
  • Custom Reporting: Utilising collections can provide you with more reporting options, enabling you to analyse and understand the usage of specific resource categories.

Navigating the Collections Tab
  • Search and Filter: At the top of the Collections tab, you'll find a search bar along with a filter button. These tools are essential for locating specific collections or filtering your search results. Enter relevant keywords in the search bar and click the filter button to narrow down your search.
  • Adding a New Collection: Next to the search bar, you'll notice an "Add New" button. Click this button to create a new collection that suits your library's categorisation needs.

Managing Existing Collections
Collections List: Below the search bar and the "Add New" button, you will find a list of all the collections currently in your system. Each collection entry includes an "Actions" button, which provides the following options:
  • View: Click "View" to see specific details of a collection, including the resources it contains.
  • Edit: Use the "Edit" option to modify the details and properties of an existing collection.
  • Delete: If you need to remove a collection from your system, choose the "Delete" option. Be cautious when deleting collections, as this action may impact resource categorisation and reporting.

By following these steps and familiarising yourself with the Resource Manager's features, you'll have the tools needed to efficiently manage your library's resources, containers, and collections using BiblioTECH's web app. Whether you're cataloguing new resources, updating existing ones, or performing bulk actions, these features offer an organised and streamlined approach to library management.
