Labels - BiblioTECH Library Management System

Go to content
BiblioTECH can print to die-cut A4 sheets of labels (Barcodes, Spine Labels, etc.). In order to know where to place the information on the page, BiblioTECH must have a 'label definition' for each label type you intend to use. While several definitions have been included with BiblioTECH by default, you may need to add/adjust definitions. To define or adjust a label sheet definition you need to open BiblioTECH System Utilities. Under the 'General' section, select Label Definition Management.

To adjust an existing label

Select the name from the Label Definition list (the system will pre-load the settings).

To add a new definition

1. Type a name for the label.
2. Adjust the settings.
Note: You must enter the values as per 'Portrait' mode in millimetres (can use decimals i.e. 25.4mm).

Page Size
As most printers will only feed label sheets accurately when using A4 sheets, you should select A4.

A = The margin from the top of the page to the top edge of the first label.
B = The margin from the left of the page to the left edge of the first label.
C = The distance from the top edge of one label to the top edge of the next label.
D = The distance from the left edge of one label to the left edge of the next label.
E = The height of one label.
F = The width of one label.

When done, click on the SaveAs button. You will be asked to confirm the name and, if it is already in use, to confirm replacing the previous definition.

BiblioTECH can print Spine Labels in two different ways:

On to A4 'Label' sheets
BiblioTECH supports printing to pre-cut labels on A4 sheets.

To a specialist label printer
BiblioTECH supports the Zebra TLP-2844 and the Brother 'BPAC' v3 series of printers.

Printing labels on A4 'Label' sheets

• Make sure that you have supplies of die-cut labels on A4 sheets.
• Ensure that you have a definition for these labels.

Printing Spine Labels

  1. Open Resource Manager and ensure that the resources for which you need a spine label printed are marked.
  2. Select the menu File --> Print Spine Labels on A4 Sheets.
  3. The BiblioTECH Spine Label Printer utility will open and list the 'Call Number' values for the marked resources.

Ensure that the correct Label Sheet Definition is selected in the Label To Use list:

The sample page will adjust to reflect the selected label definition. If the sample page is not correct, you will need to adjust the label layout. Additionally, adjust the other settings as required.

Select the Call Numbers to print and click Print; the Print Preview screen will be shown:

If the labels do not align correctly, adjust the printing location using the two sliders. After the labels have printed, you will be returned to the Spine Label Printer utility. If you do not need to print those labels again, click on Unmark Just Printed.

Adjusting the Label Layout

If the label layout needs to be adjusted, select the menu Options --> Manage Label Layout.

Label Layout: Select the target layout.
Note: If you wish to add a new layout, select an existing one, adjust it and save the adjusted layout with the new name.

Label Definition: Select the Label Sheet Definition (refer to A4 Sheet Definitions in System Utilities).

Printing Orientation: Select either Portrait or Landscape as required.

Printing Font: Select the font to use when printing the label.

Edge Label Printing: Some printers do not print the edge labels correctly.
Note: If your printer has this problem, disable printing of edge labels as required.

Printing labels using a specialist label printer

Zebra TLP-2844

Setting up the printer
Note: The printer must be local to the computer you are printing from.

1. Install the 'Zebra TLP 2844' printer as per the instructions provided with the printer.
2. Test the printer to ensure that you can use the Zebra utilities to print a label.

Setting up BiblioTECH

1. Open Resource Manager.
2. Select the menu File --> Select a "Label" Printer:

3. Select the Zebra TLP-2844 (Text) printer from the list.

Using the Zebra TLP-2844 to print a Spine Label

Open the Resource Manager, selecting the target record by either clicking on Edit or Add accordingly. When the record is displayed, there will be a button displayed next to the Dewey/Call Number field which you can click to print the corresponding spine label directly:

If you click this button, a Spine Label will be printed.
Note: BiblioTECH will parse the Dewey entry, splitting the text into lines after a <space> or a <.>.
Brother 'BPAC' v3 Compatible

Note: BiblioTECH must be version 8.8S [972] or later for the bPAC service to work.

Brother produces the 'QL' range of label printers, which includes both USB and network models. Those models that incorporate the b-PAC v3 standard are supported by BiblioTECH. This is a Windows 32-bit only service which provides the ability to print labels to USB connected b-PAC v3 compatible printers (eg. QL-570, QL-720NW) from the BiblioTECH Client.

If you have a USB printer (e.g. the QL-570), then it must be directly connected to the computer being used to print labels. If you are using a network-enabled printer (e.g. QL-720NW), then it must be connected to the computer you wish to print labels from via USB and not the network interface. This arrangement allows for the printing of labels from any BiblioTECH Client computer, not just the machine with the printer connected. Additionally, the computer with the printer attached does not require the BiblioTECH Client to be installed – it can be any computer running Windows 7 to 10.

As each Brother printer can print to a variety of label sizes, you need to ensure that you have appropriately sized labels. For the printing of spine labels, the required size is 23mm x 23mm which usually comes in a roll of 1000.

Setting up the Printer
Note: Always download and install the latest versions of the printer drivers via the Brother website.

  1. Install the label cartridge into the printer (check the printer manual for instructions).
  2. Install the printer as per the instructions on the Brother website. Do not plug the printer into the computer until requested to do so during the driver installation step.
  3. (Only applies to the QL-570) Open Windows Settings –-> Devices and Printers, select the newly installed printer and click on Manage. Select the Printer Properties panel, click on New Driver and select the 'LE' version of the driver from Windows Update (Brother QL-570 LE). If the 'LE' version is not listed, click on the Windows Update button which should download it.
  4. Install the Brother pTouch software onto the computer, checking that you can successfully print labels using the Brother p-Touch software.
  5. Install the Brother b-PAC Client Component onto the computer (specifically the 32-bit Client Only version available on our website).

Testing the Printer Installation

Note: First ensure the printer has a roll of 23mm x 23mm labels in the cassette.

1. Using the Brother pTouch software, open an empty label. The 'Media' entry should say 23mm x 23mm and the displayed label should reflect this.

2. Click inside the label and type a couple of lines of text, then click on Print.

3. Accept all defaults and after a few seconds a label should be ejected by the printer with the text printed.

Label Definition files

When printing to a Brother b-PAC label printer, you must define and select a 'label template file'. The template used by BiblioTECH when printing Spine Labels must be named  BTspine.lbx and must be located in the folder  c:\ProgramData\BiblioTECH\v8\Client\Data. BiblioTECH includes several such template files in the above folder – to change files you need to copy the appropriate .lbx file to this directory and rename it to BTspine.lbx. If needed, you can use the Brother 'P-touch Editor' software to adjust this .lbx file (layout, font used, etc.).

Setting up BiblioTECH

Step 1 – Label Printing Service

On the Windows computer with the label printer installed:
Note: Please ensure that this computer has a 'static' IP address.

1. Install the BiblioTECH b-PAC Service.

2. Open the BiblioTECH bPAC Gateway Manager and navigate to the first section (Step 1). Ensure the details are correct and then test the Port and Host IP Address of the BiblioTECH Server for a good connection by clicking the broadcast button. If a successful response is received then these settings will be applied.

3. The default port number for the BiblioTECH bPAC service is 17002. If you need to adjust this please do so in the second section (Step 2). Once you have made any necessary adjustments please save these settings. You should then see the bPAC service restarting; once it is back up and running you should see an info packet displayed with the details of your printer within 'Printer Info' section of the manager.

4. Test the printer using both the 'Print a Test Label Direct' and 'Print a Test Label via BiblioTECH' options (Step 3). If these are successful you have correctly configured your Brother printer for use with BiblioTECH.

Step 2 – Each BiblioTECH Client
Note: Must be performed on each Client which will be used to print Spine Labels.

1. Open the Resource Manager.
2. Select the menu option File --> Select BPAC Label Printer.
3. If only one printer is available this will be automatically selected. If more than one printer is available however a list will be displayed and the desired printer should be selected.

4. Select the menu option File --> Select a "bPAC Label" Layout.
5. Select the desired layout from the list and click [Save].
